This Privacy Policy describes how VouchEx (“we”, “us”, “our”), available at https://vouchex.kuhu.org.in, collects, uses, stores, and protects personal information when you use our cloud accounting and GST compliance software (“Service”).

By creating an account, starting a free trial, or signing in with Google, you agree to this Privacy Policy. If you do not agree, please do not use the Service.

1. Information we collect

We may collect the following categories of information:

• Account information: name, email address, password (stored in encrypted form), role, and login activity.
• Google Sign-In: if you choose “Sign in with Google” or “Sign up with Google”, we receive your Google account ID, name, and email address from Google after you authorize access. We do not receive your Google password.
• Company and business data: company name, trade name, GSTIN, PAN, address, phone, bank details, invoices, purchases, expenses, inventory, financial records, and other data you enter into VouchEx.
• Subscription and payment claims: plan selected, UPI transaction reference numbers, payment notes, and related billing correspondence.
• Technical data: IP address, browser type, device information, session tokens, and server logs used for security, audit, and troubleshooting.

2. How we use your information

We use personal and business data to:

• Provide, operate, and maintain the VouchEx platform
• Create and manage your account and company workspace
• Process free trials, subscriptions, and payment verification
• Send service-related emails (e.g. backup notifications, payment review alerts to administrators)
• Improve security, prevent fraud, and maintain audit logs
• Respond to support requests and legal obligations

We do not sell your personal information to third parties.

3. Google OAuth

VouchEx uses Google Identity Services for optional sign-in and registration. Google’s use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

We only request basic profile information (name and email) needed to create or authenticate your VouchEx account. You can revoke Google access at any time from your Google Account permissions page.

4. Data storage and security

Your data is stored on secure servers. We use industry-standard measures including encrypted connections (HTTPS), access controls, role-based permissions, and authentication safeguards. No method of transmission over the Internet is 100% secure; we work continuously to protect your information.

5. Data retention

We retain account and business data for as long as your account is active or as needed to provide the Service, comply with law, resolve disputes, and enforce agreements. You may request account deletion by contacting us; some records may be retained where required by law or legitimate business needs.

6. Sharing with third parties

We may share information only in these situations:

• With hosting and infrastructure providers that help us operate the Service (under confidentiality obligations)
• When required by law, court order, or government request
• To protect the rights, safety, and security of VouchEx, our users, or the public

7. Your rights

Depending on applicable law, you may have the right to:

• Access and update your account and company profile information within the portal
• Request correction or deletion of personal data
• Withdraw consent for optional services (such as Google Sign-In)
• Lodge a complaint with a relevant data protection authority

8. Cookies and sessions

VouchEx uses session tokens and similar technologies to keep you signed in and secure your account. These are essential for operating the Service.

9. Children

VouchEx is intended for businesses and professionals. The Service is not directed at children under 18, and we do not knowingly collect personal information from children.

10. Changes to this policy

We may update this Privacy Policy from time to time. The “Last updated” date at the top will reflect changes. Continued use of the Service after updates constitutes acceptance of the revised policy.
